Sick notes & continued pay

Sick leave needs no approval: whoever is ill reports sick in Klokk, and the absence applies at once. The target is dropped for those days; the time account stays untouched.

  1. Under Requests, click Report Sick.

  2. Enter Sick from — usually today.

  3. Enter the Expected recovery date when the end is known (for example from the doctor’s note). Left empty, the sick leave is open — it runs until you report recovered.

  4. Submit. The sick leave shows as approved; to colleagues in the team calendar only as “absent”, without a reason.

While sick leave is running, Klokk shows Currently on sick leave with the date Sick since. Report Recovered ends it with today; from tomorrow the normal target applies again.

Sick leave that is wrong can be taken back:

  • With the permission Delete own sick leave (granted by an admin under Admin → Users) you delete it directly.
  • Otherwise click Retract sick leave. An admin decides: Delete sick leave (you count as fit for work again) or Keep sick. You get the result by e-mail and notification.

Time entries recorded during the sick leave stay when it is deleted. Sick leave in a closed month can no longer be changed.

In a person’s work schedule, admins can switch on Notify on sick report. The admins then receive an e-mail as soon as this person reports sick or recovered.

With sick leave, approvers see until when continued pay runs under § 3 EFZG (German Continued Remuneration Act):

  • six weeks from the start of the illness,
  • at the earliest from the fifth week of employment,
  • earlier periods of the same illness count towards the six weeks.

Klokk shows “Continued pay until …” and afterwards “Continued pay ended on … (6 weeks, German EFZG § 3)”. Klokk knows no diagnoses: the date is the latest possible end. Whether earlier periods of the same illness shorten it is for HR to check.

Health data is specially protected (Art. 9 GDPR):

  • Colleagues see only “absent” in the team calendar, never the reason.
  • Comments on absences — often with health details — are stored encrypted.
  • The kind of an absence is seen only by the person and whoever decides their requests.
