Time account

The time account shows how many plus or minus hours a person has. Klokk works it out continuously from the records — there is nothing to close or carry over by hand.

For every day:

day’s balance = time worked − the day’s target

  • The target comes from the person’s work schedule. It is dropped on public holidays, on the company’s days off and for absences that free the target (vacation, sickness …).
  • Time worked is the net time of the entries; travel time counts with the credited part. Entries added afterwards count once approved.
  • Plus bookings by admins (see below).

The account starts with the employment start — without one, with the first time entry. In the running month today’s target already counts, so the day shows a minus until the end of work.

Everyone opens their account with View time account on the dashboard. At the top is the current balance, below it the statement of the chosen year:

Column Content
Month every month of the year, starting with carried over from last year
Target, actual the month’s totals
Bookings the month’s bookings
Change actual − target + bookings
Balance the balance at the end of the month (in the running month: “so far”)

A person’s account is seen by the person, whoever decides their requests, their company’s admins and auditors — admins under Admin → Time Analysis → (person) → Time account.

Admins book on a person’s time account:

Kind For
Opening balance the balance from an earlier system when starting with Klokk
Payout overtime paid out — always deducted
Correction credit (+) or debit (−), for example after an agreement
  1. Admin → Time Analysis, open the person, Time account.

  2. Enter date, kind, direction and hours (as 7:30 or 7.5), optionally a note.

  3. Book. The booking counts from its date and is recorded in the audit log.

Bookings can be deleted again — except in a closed month.

Super admins set per company under Admin → Companies → (company) → Time account range how many plus hours and minus hours there should be at most (0 = no limit).

  • Within the range: green.
  • Close to a limit: amber, from 80 % of a limit.
  • Outside the range: red.

The dashboard and the statement show the colour. The admins’ overview lists people with a negative balance and high overtime, so you can act in time.

When old records are deleted under the deletion periods, the balance stays right: Klokk takes the balance before the deletion date over as a carry-over. The statement points this out.
