Last day of employment

When someone leaves the company, admins enter the last working day. Klokk then stops counting the target at the right time, locks later bookings and deactivates the account.

  1. Open Admin → Users and edit the person.

  2. Enter the last working day under Last day of employment. It cannot lie before the start date.

  3. Save. The change is recorded in the audit log.

The date can be entered in advance — right after notice is given, for example — and changed at any time until then.

  • No more target: no target hours accrue for the days after it; the time account counts only up to the last day.
  • No more bookings for later days: no clocking, no entries added afterwards, no absence requests. The clock names the date (“The employment ended on …”). A shift begun on the last day still ends normally.
  • Account deactivated: on the day after the last working day (in the person’s time zone) Klokk deactivates the account at night, ends running sessions and records it in the audit log.

The deactivation happens once. Admins can reactivate the account afterwards — so the person can fetch their records, for example. A changed date triggers the deactivation again. The last active super admin is never locked out.

  • In the year of leaving nothing expires and nothing is carried over. Remaining days show in the vacation account as to be paid out (§ 7 (4) BUrlG).
  • Whoever leaves before the end of the six-month waiting period or by 30 June receives a twelfth of the annual vacation per full month (§ 5 (1) b, c BUrlG).

More in vacation rules.

The time account balance on the last working day is the basis for paying out or deducting in the final payroll. The records are kept — they remain subject to the retention periods.
